Privacy Policy
This covers the system Peace Residential Care uses to keep track of employee work documents, and the reminders it sends.
What is collected
Contact details — your name, work email address and mobile number, as given to Peace Residential Care by you or by your employer.
Document dates — the expiry or issue dates of the work documents your role requires, such as a certification or a license.
Documents you send in — the photo or PDF you upload through a secure link, and when it arrived.
Message records — that a reminder was sent to you, to which address or number, and whether it arrived. If you text us, the message and the date are recorded.
Why
To keep the records Peace Residential Care is required to hold about the people it employs, and to tell you when one of your documents needs renewing before it lapses. Nothing here is used for marketing, and nothing is sold.
How long documents are kept
A document you upload is removed automatically 30 days after it arrives. Its expiry date stays on your record — that is what the reminders are based on — but the file itself does not. Nobody has to remember to delete it.
Who can see it
The HR administrators of Peace Residential Care. Files are held in private storage and are opened through links that expire within a minute of being requested. No other organization using this system can see any of it.
Text messages
Texts are sent only to employees who have asked for them by texting in, and that request is recorded with its date. Replying STOP ends them. See the text message terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
